Beyond the Wheels 2.0 exists because preventable deaths on Guyana’s roads are a serious matter. The conversation it convenes should be direct, evidence-led and sometimes uncomfortable. It should never be unsafe. This Code sets out what we expect of everyone in the room.
1. Who this applies to
This Code applies to everyone taking part in Beyond the Wheels 2.0: delegates, speakers, panellists, sponsors, exhibitors, media, volunteers, contractors, and the organising team. It applies at the venue, at associated events and receptions, on Summit transport, and in Summit communications, including social media where the Summit is named or tagged.
2. What we expect
- Engage with the argument, not the person. Challenge evidence, positions and decisions robustly. Do not attack the individual making them.
- Make room for other voices. Regulators, operators, drivers, insurers, families affected by crashes, and young people all have standing here. Some will be less practised at speaking in a room like this. Let them finish.
- Be accurate. If you cite a figure, be prepared to say where it came from.
- Respect confidentiality. Closed-door sessions are closed. Do not report, record or repeat attributed remarks from a session marked private.
- Follow venue and safety instructions from Summit staff and Arthur Chung Conference Centre personnel.
3. What is not acceptable
- Harassment, intimidation or bullying in any form.
- Discriminatory or demeaning conduct or language relating to sex, gender, gender identity, race, ethnicity, nationality, religion, age, disability, or any other personal characteristic.
- Unwelcome physical contact, or unwelcome attention of a sexual nature.
- Sustained disruption of a session, or persistent interruption of a speaker.
- Threats or incitement of violence.
- Photographing or recording a person who has asked you not to.
- Circulating another participant’s personal details without their agreement.
- Using Summit access, delegate lists or the exhibition floor to solicit business from participants who have not invited it.
4. Recording, photography and reporting
The Summit is photographed and recorded for reporting and archival purposes. By attending, you accept that you may appear in general audience photography and footage. If you do not wish to appear, tell the registration desk on arrival and we will do what we reasonably can.
Accredited media may record open sessions. Closed-door sessions and the operators luncheon are not for attribution or recording. Delegates may take photographs for personal and professional use, subject to the point above about people who have asked not to be photographed.
To be confirmed by the organiser. Whether a formal photography opt-out wristband or badge marker will be issued at registration has not yet been decided.
5. Reporting a concern
If you experience or witness behaviour that breaches this Code, tell us. You do not need to be certain, and you do not need to have been the person affected.
- At the venue: speak to any member of the Summit team at the registration desk. They will find a senior organiser immediately.
- By telephone: +(592) 659-9596 or +(592) 663-0324.
- By email: [email protected], marked Code of Conduct.
Reports are handled discreetly. We will not share your identity with the person reported without your agreement, unless we are required to by law. Where there is an immediate risk to anyone’s safety, we will contact the emergency services.
6. How we respond
A senior member of the organising team will look into the report promptly and decide what is proportionate. Depending on what happened, that may include:
- a private word with the person concerned;
- a formal warning;
- removal from a session or from the exhibition floor;
- withdrawal of accreditation or of the delegate pass, without refund;
- removal from the venue, and exclusion from future editions; or
- referral to the police.
Sponsors, exhibitors and media organisations are responsible for the conduct of their own personnel. A serious breach may result in the withdrawal of a sponsorship or exhibition presence.
