1. Who we are
Beyond the Wheels 2.0 is a Transportation and Road Safety Summit held on 6 and 7 October 2026 at the Arthur Chung Conference Centre, Georgetown, Guyana. The Summit is convened by:

This policy explains what personal information we collect through beyondthewheelsforum.com, why we collect it, and what you can ask us to do with it. It applies to the website and to Summit registration, sponsorship, exhibition and press accreditation.
2. What we collect
We only collect information you choose to give us. There is no account to create and no requirement to identify yourself in order to read the site.

We do not ask for, and ask that you do not send us, national identification numbers, banking details, health information, or any other sensitive personal data through these forms.
3. Why we collect it
- To deliver what you asked for. Confirming your registration, sending the prospectus, assessing an accreditation application, or responding to an enquiry.
- To run the Summit. Delegate lists, badges, seating and catering numbers, and session planning.
- To keep you informed about the Summit you registered for: programme updates, venue information, and joining instructions.
- To understand how the site is used, so we can improve it.
We rely on your consent, given when you submit a form, and on our legitimate interest in organising and delivering the Summit. You can withdraw consent at any time.
4. Who we share it with
We do not sell your personal information. We do not share it with sponsors, exhibitors or any third party for their own marketing.
We use a small number of service providers to operate the Summit. They process data on our instructions only:

Some of these providers operate outside Guyana, which means your information may be processed abroad. We disclose personal information to a public authority only where we are required to by law.
5. How long we keep it
Registration and delegate records are kept for the duration of the Summit and for twelve months afterwards, so we can handle follow-up, reporting and the next edition. Enquiries that do not lead to a registration or agreement are deleted within twelve months. You can ask us to delete your information sooner.
6. Cookies and tracking
The site uses a small number of cookies and similar technologies:
- Necessary. Set by our hosting provider to deliver and secure the site. These cannot be switched off.
- Advertising measurement. The Meta pixel records when a visitor reaches the registration or sponsorship forms, so we can measure whether our advertising is working. It does not read anything you type into those forms.
You can block or delete cookies in your browser settings. Blocking the advertising cookie does not affect your ability to register.
7. Your rights
You may ask us to:
- tell you what personal information we hold about you;
- correct anything that is wrong or out of date;
- delete your information, where we are not required to keep it;
- stop sending you Summit communications; or
- withdraw a consent you previously gave.
Write to [email protected] with the word Privacy in the subject line. We respond within thirty days. There is no charge.
8. Security
The site is served over an encrypted connection. Form submissions are transmitted to our server and passed to our email provider without the credentials being exposed in your browser. Access to delegate data is limited to the people organising the Summit. No system is perfectly secure, and we cannot guarantee the security of information you send us over the internet.
9. Children
The Summit and this website are intended for professional and adult audiences. We do not knowingly collect personal information from anyone under the age of 16. Where a school or youth group participates through the BTW NextGen programme, arrangements are made with the institution and with parental or guardian consent. If you believe a child has given us personal information, contact us and we will delete it.
10. Changes and contact
We may update this policy as the Summit develops. The effective date at the top of this page shows when it was last revised. Material changes will be noted on this page.
